Introduction
This Privacy Policy explains how Appz360 Inc. ("Appz360," "we," "us," or "our") collects, uses, shares and protects personal information when you visit appz360.com (the "Site"), contact us, apply for a role, or use our AI-native apps for Microsoft 365, including CLMS360, Helpdesk360 and Payroll360 (the "Services").
Please read it together with our Terms of Service and Cookie Policy.
Our role: controller and processor
As a controller. For information about visitors, prospects, partners, job applicants and account administrators, Appz360 decides why and how the data is used.
As a processor. Our apps run inside your own Microsoft 365 tenant. For the content your organization submits to or generates within the Services ("Customer Data"), your organization is the controller and Appz360 processes it on your instructions. Enterprise customers can request a Data Processing Agreement.
Information we collect
Information you give us
- Contact and enquiry details: name, work email, phone, company, website, country, company size and the message you send when you book a demo, start a trial, contact sales or apply to our partner program.
- Account details: name, work email, role, organization and Microsoft 365 tenant identifiers.
- Job applications: name, contact details, education, CV, links to your work and any information you include in your note.
- Communications: messages, support requests and survey responses.
Information collected automatically
- Usage and device data: pages viewed, referring page, approximate location derived from IP address, browser, device and operating system.
- Cookies and similar technologies: see our Cookie Policy for categories, names and durations.
Information from the Services
- Customer Data that you or your users submit to, or that is generated within, the Services, including content accessed from your Microsoft 365 tenant through the permissions your administrator grants.
- Service data: configuration, feature usage, logs and diagnostics used to operate and secure the Services.
Information from others
We may receive business contact details from Microsoft marketplaces when you obtain an app, from our partners who refer you, and from professional networks such as LinkedIn.
How we use information
- Provide, operate, maintain and secure the Services and the Site.
- Create and manage accounts, subscriptions, trials and support requests.
- Respond to demo, sales, partner and recruiting enquiries.
- Operate AI Features that you enable, and improve and develop the Services.
- Understand how the Site is used and measure the effectiveness of our marketing.
- Communicate about the Services, security notices and, where permitted, relevant product updates and offers.
- Detect, prevent and investigate fraud, spam, abuse and security incidents.
- Comply with legal obligations and enforce our terms.
Legal bases for processing
Where the GDPR or UK GDPR applies, we rely on the following bases:
- Contract: to provide the Services and respond to your requests.
- Legitimate interests: to secure, improve and market our Services, prevent abuse and run our business, balanced against your rights.
- Consent: for non-essential cookies and for marketing communications where consent is required. You can withdraw consent at any time.
- Legal obligation: to meet tax, accounting and regulatory requirements.
AI features
AI Features process Customer Data to summarize, draft, classify or otherwise assist with workflows you choose to enable. Unless otherwise agreed in writing, Customer Data processed by AI Features is not used to train models shared across other customers. AI output can be inaccurate, so please review it before relying on it.
How we share information
We do not sell your personal information. We share it only as follows:
- Service providers that help us run the Site and Services, such as hosting, analytics, advertising measurement, communications and support providers, bound by confidentiality and data-protection obligations.
- Microsoft, because the Services operate within Microsoft 365 and are distributed through Microsoft marketplaces. Microsoft’s own privacy terms govern its platforms.
- Partners you ask us to connect you with, such as an implementation partner.
- Professional advisers and authorities where required by law, or to protect rights, safety and security.
- Corporate transactions: in connection with a merger, acquisition or sale of assets, with notice where required.
Cookies and analytics
We use cookies and similar technologies for essential site functions, analytics, preferences and marketing measurement, including Google Analytics and LinkedIn Ads. You can change your choices at any time in the cookie settings or your browser. Details are in our Cookie Policy.
International transfers
We and our service providers may process information in countries other than your own, including India and the United States. Where required, we use appropriate safeguards such as standard contractual clauses or other lawful transfer mechanisms.
Data retention
We keep personal information only for as long as needed for the purposes in this policy, including to provide the Services, meet legal, tax and accounting requirements, resolve disputes and enforce our agreements. After termination, Customer Data is available for export for 30 days unless legally prohibited, and is then deleted or de-identified in line with our contractual commitments. Job application materials are kept only as long as needed for recruiting.
Security
We use technical and organizational measures designed to protect personal information, including encryption in transit over HTTPS, access controls and workspace-scoped authentication. Because the apps run in your Microsoft 365 tenant, your organization’s own Microsoft security and compliance settings also apply. No system is completely secure, so please protect your credentials and tell us promptly of any suspected incident.
Your rights and choices
Depending on where you live, you may have the right to:
- access the personal information we hold about you and receive a copy;
- correct inaccurate information, or have it erased;
- restrict or object to certain processing, including direct marketing;
- data portability;
- withdraw consent at any time, without affecting earlier processing;
- lodge a complaint with your data-protection authority.
To exercise a right, email privacy@appz360.com. We may need to verify your identity. If your data is Customer Data, we may refer you to your organization, which is the controller. You can unsubscribe from marketing emails using the link in any message.
